What a PAID stamp is for
Freelancers, small shops and accounts departments mark invoices as PAID so that nobody chases or pays the same bill twice. A stamped copy is also a friendly receipt: send the customer their invoice back with a PAID stamp and they have proof of payment for their own bookkeeping.
Add the payment details
A bare PAID mark is fine for internal use. For a receipt you send out, add the date and the payment method next to the stamp — for example "Paid 14 Oct 2026 by bank transfer". Many businesses use the bottom line of the stamp for their company name, which makes the receipt look more official.
Design tips
- Rectangle shape is the classic PAID look and fits in the corner of an invoice.
- Red ink is traditional and stands out against black invoice text.
- Slight transparency (80–90% opacity) makes the stamp look pressed-on instead of pasted-on and keeps numbers underneath readable.
Frequently asked questions
Does a PAID stamp count as a receipt?
It helps, but a proper receipt should also show who paid, how much, the date and the method. Put those details on the invoice next to the stamp and you have a clear record.
