When to use an APPROVED stamp
An approved stamp tells everyone who handles a document after you that it has been checked and cleared. Typical uses are expense claims signed off by a manager, supplier invoices released for payment, architectural or engineering drawings accepted by a client, and internal forms such as holiday requests or purchase requisitions.
On paper, the stamp usually sits in a margin or in an empty area near the signature line. On a PDF, the same rule applies: put it where it doesn't cover numbers or text that someone still needs to read.
Why green (or blue) works best
Offices use colour to make status readable at a glance. Green is the most common colour for approval because it reads as "go"; dark blue is the second choice because it clearly differs from black printed text and is hard to confuse with a photocopy. Avoid red for approvals — most people read red as rejected, overdue or urgent.
Make it more useful
- Add a name or department to the bottom text (e.g. "FINANCE DEPT.") so people know who approved it.
- Add the date by writing it on the document next to the stamp, or put it in the bottom line (e.g. "APPROVED 12/10").
- Keep it one colour. A single ink colour looks like a real rubber stamp and survives black-and-white printing.
