When to mark something as a copy
Duplicates of invoices, delivery notes and certificates are marked COPY (or DUPLICATE) so they can't be booked or submitted as if they were the original. Accountants use it to avoid paying the same invoice twice, and offices use it on file copies of outgoing letters.
Copy, duplicate or certified copy?
COPY or DUPLICATE simply means "not the original". A certified copy is different: it is confirmed as a true copy by an authorised person such as a notary or official, with their own signature and seal. A stamp from this tool can't make a certified copy — only the authorised person can.
Design tips
- Black or dark grey works best because copies are often printed in black and white anyway.
- Use the rectangle shape and place it top-right, where invoice numbers usually sit.
Frequently asked questions
Can I write DUPLICATE instead of COPY?
Yes — click "Customize this stamp", change the text to DUPLICATE and download.
Does a copy stamp make a copy official?
No. It only marks a document as not being the original. Official certified copies need an authorised signatory.
