Always say why
A rejected stamp should never be the only feedback. Pair it with a short reason — wrong amount, missing purchase order number, outdated revision — so the sender can fix it on the first try. "SEE COMMENTS" on the bottom line points readers to your notes.
Common uses
- Supplier invoices that don't match the order.
- Expense claims without receipts.
- Drawings or proofs returned for changes.
- Internal forms missing a required signature.
Keep a record
Save the stamped copy together with the reason. When the corrected version comes back, you can compare the two and approve it quickly.
Frequently asked questions
Is DECLINED friendlier than REJECTED?
Yes. For customer-facing documents, DECLINED or RETURNED FOR CHANGES sounds less harsh. Change the text in the stamp maker.
Which colour?
Red is standard for rejections, matching the approved (green) / rejected (red) convention most offices use.
